Maintenance
Document Maintenance allows you to carry out Document related processes in order to ensure the accuracy and relevancy of your data. This functionality is available via the Document Full View page.
There are three options available within the Maintenance section all of which are detailed below:
Document Merge
This allows you to merge a Document with another Document currently stored within Blueprint. If Documents are merged together then all versions of each Document will be shown on the Target Document.
When clicking the Merge button the user will be displayed with the Merge Document modal and have the following options available:
Merge Target Selection - you will be able to search for a select a single Document to merge to
Merge Reason - there are two options for selecting a reason for the Merge, this is a required field
Merge Behaviour - there are two options for the behaviour the Merge will adopt:
Keep Target - this will mean that all metadata attributed to the Target Document will remain in place. Any metadata attached to the original (Source) Document will be disregarded
Keep Source - this will mean that all metadata attributed to the Target document will be removed and the metadata attached to the original (Source) Document will be merged across to the Target Document
Set a Published Version - this allows you to select which version from the two Documents should be set as the Published Version. If this is not selected the Published Version on the Target Document will remain as the Published Version
Once Merged the Source Document is deleted from the Blueprint Application.
This functionality requires the ‘Merge Documents’ permission configured within Application Roles.
Archive/Unarchive Documents
This allows the user to Archive a Document. Using this functionality will mean that the Document is placed in an Archived state. This Document will still be visible within Blueprint to anyone with the appropriate permission below.
If a Document is already in an Archived state then this option will show as an Unarchive button. Clicking this will return the Document to either a Draft or Published state dependant on the Document Version status(es).
This functionality is feature driven via the ‘Archive’ feature and can be enabled/disabled via Feature Enablement.
This functionality also requires the ‘Archive Documents’ permission configured within Application Roles.
Delete Documents
This allows the User to Delete a Document in its entirety. This is a hard delete function with no reversal. Upon clicking delete all reference to the Document within Blueprint will be removed.
This functionality is feature driven via the ‘Delete’ feature and can be enabled/disabled via Feature Enablement.
This functionality also requires the ‘Delete Documents’ permission configured within Application Roles.
